The scorecard starts with the cancellation call, not the sales call. The dashboard that goes on the wall is retention, not the leaderboard. And the thing most people ask for on the first call is not a report at all. It is the FieldRoutes note, written for them, so the office can stop typing.

Save rate is the whole game and nobody tracks it

Every account that cancels in month three cost a knock, a contract and a first service. Whether the office rep tried to save it, offered a discount, or just processed the cancel is invisible.

What you see in the first week

We connect the phone system and FieldRoutes and backfill a month of recent calls, so the first thing you see is last month's cancellation calls scored, not an empty dashboard.

  • Every service, billing and cancellation call transcribed and scored against a short scorecard we build with you: did they find out why, did they offer a fix, did they ask to keep the account.
  • Save rate by rep. Who keeps accounts on the phone and who processes cancels.
  • A note written into FieldRoutes after every call, automatically. What the customer called about, what was promised, what happens next. The office does not lift a finger.
  • A missed-call list so you know which customers called and got nobody.
  • Close rate on the inbound sales calls too, once the office starts taking them.

The automatic note is the part people do not believe until they see it. It goes on the customer record in FieldRoutes, in plain language, within a few minutes of the call ending. The transcript never overrides anything already in FieldRoutes. It only adds.

Month one

What changes after a month

  • The office manager knows which two reps are losing accounts and why, and has coached them from actual calls rather than from a hunch.
  • Cancellation calls follow a script because the scorecard makes it obvious when they do not.
  • FieldRoutes notes are complete for the first time. The person answering the phone can see the last three conversations before saying hello.
  • You have a save rate number for the whole office and a trend line, which is the thing you actually wanted when you started asking about software.

One thing we have noticed: door-to-door companies usually start taking inbound sales calls seriously about a month after the office is scored, because for the first time they can see how many they were getting and how many closed. That is when the sales half of the product starts to matter. We do not push it before then.

What it does not do

  • It does not record door-to-door conversations. Plaibook is for the office phones. If you want field recording, that is a different kind of product.
  • It does not run digital marketing attribution unless you have digital marketing. Most door-to-door companies do not yet, so that half of the product will sit unused. We will not pretend otherwise on the demo.
  • It does not answer calls or make them. No AI voice. The follow-up product is text only, and it works on the leads who call you.
  • It does not replace FieldRoutes as the record. FieldRoutes stays the source of truth. Plaibook writes notes into it and reads from it.
  • It does not help much if the office is one person on a cell phone. You need a phone system that records calls. We will tell you which ones work.
