The questions people ask on every demo

We looked at a summer of demo calls and the same fifteen questions came up on nearly all of them. Seats, fees, the trial, which phone systems, how accurate it is, who sees the data. Here are the answers we give on the call, written down.

Pricing and terms

Who counts as a seat?

A seat is a CSR or inside sales rep whose calls Plaibook scores. That is it. Managers, marketers and owners who do not take calls are free, and so is anyone who only takes a handful of calls a week. So a ten-person office with six people on the phones pays for six seats. See the pricing page for how billing works.

Are there setup or implementation fees? What about contracts?

No setup fee, no implementation fee, and no annual contract. We do not like implementation fees because they give people one more reason not to start. Billing is month to month and you can cancel any time. There is an agreement to sign, but it exists mainly for the NDA and the data terms, not to lock you in. How does the free trial work?

Thirty days, no credit card, and it is the real product, not a sandbox. We connect your phone system, build your scorecard from your own script, backfill your recent calls, and your managers use it the way a paying customer would. If you came to us through a partner referral, the trial runs 45 days. At the end you decide. Nothing gets charged in the background.

How is the AI text follow-up billed?

Outcome-based. You never pay per message. Before launch we sit down together and define what counts as an outcome for your business, for example a lead that books an appointment or a customer who commits to a service, and that is what gets billed. Nothing is billed for the texts themselves. See the pricing page for how billing works.

Setup and integrations

Do my reps have to enter anything?

No. This is the most common question we get, and the answer is no. Plaibook transcribes every call from your phone system and grades it against your script steps using the words that were actually said. Lead source, outcome, objection, whether the rep asked for the sale: all of it comes from the recording and from FieldRoutes, not from a rep filling in a disposition. If your team already tracks a chart like this in FieldRoutes by hand, this is the same chart with nobody typing.

Which phone systems and field service platforms do you work with?

Phone systems live today: Five9, Dialpad, RingCentral, Genesys Cloud, Zoom Contact Center, GoTo Connect, CallRail, CallTrackingMetrics, Nextiva, Quo (formerly OpenPhone), Voice for Pest, JustCall, Kixie, Talkdesk, NICE CXone, WhatConverts, Surge, and GoHighLevel's phone. Field service platforms: FieldRoutes (deepest, read and write), PestPac, and Briostack. ServiceTitan is in progress. If your phone system has an API and is not on the list, we build the integration free, usually in about a day. FSMs take two to three weeks. What we cannot do: Google Voice, Grasshopper, or a line that forwards to someone's cell, because there are no recordings to pull. If you do not have a phone system yet, we usually point teams under five reps to Quo and teams of five to fifteen to Dialpad. The full status list is on the integrations page.

Does Plaibook replace CallRail, CTM, WhatConverts, GoHighLevel, PestAI, or Voice for Pest X-Ray?

For call tracking and attribution: yes, with one exception. Plaibook ties each lead source to what actually closed in FieldRoutes, which is the part those tools cannot see. The one thing we do not do is number pools, so if you rely on dynamic number swapping on your website, keep that piece. For lead follow-up: yes, the AI text follow-up replaces the follow-up side of GoHighLevel and PestAI. For call scoring: yes, Plaibook covers what X-Ray does and Voice for Pest stays as your phone system. What we do not replace: email marketing and outbound dialing. We do not do either. How it works day to day

Where do my reps and managers actually work?

Reps do not change anything. They keep taking calls in the phone system and keep booking in FieldRoutes, same as today. There is nothing for a rep to log into. Managers are the ones who live in Plaibook: scorecards, leaderboard, close rate by rep and by lead source, the calls that need a listen. Coaching goes out through Slack, so a rep sees a note about yesterday's calls in the same place they already talk to the team. If you were worried about adding a third screen for your reps, that is the honest answer: the third screen is for the manager, not the rep.

Do you have AI voice agents?

No. Plaibook follows up by text only, and that is on purpose. A pest control customer who called and did not book is far more likely to answer a text than pick up a call from a robot, and a text thread gives a human at your office a chance to read and approve what goes out. Voice agents also have a nasty failure mode: if the agent quotes a price, you have to honor it. We would rather book the appointment in a thread you can see.

Which AI models do you use, and who built this?

We use current frontier models from OpenAI and Anthropic, chosen per task, and we swap them out as better ones ship. The models are not the product. The product is the scorecard built from your script, the FieldRoutes reconciliation, and the follow-up workflow around them. Plaibook is a team of five in Provo, Utah: two founders and three engineers, and the engineers are the support team. A code change usually ships within two days. A configuration change, like adjusting a scorecard step, is same day.

Accuracy and data

How accurate is the scoring, and what is the source of truth?

FieldRoutes is the source of truth. If the transcript says the customer booked and FieldRoutes says they did not, FieldRoutes wins. Plaibook keeps a daily cached mirror of your FieldRoutes data, which works out to roughly 20 to 30 API calls a day, and reconciles every call against it. For the script grading itself, every score links to the recording and the timestamped transcript, so a manager can click into any grade and check it in under a minute. We would rather you audit us than take our word for it.

Who sees my data?

Your team and the Plaibook staff who support your account. Nobody else. Your call data is never shared with other customers or with vendors, not while you are a customer and not after. We use your calls to improve your own scorecards, not to train anything for anyone else. When you leave, we export your data or delete it, your call. What close rate is normal?

Most owners tell us they close 55 to 75 percent. Once every qualified inbound call is counted, including the ones nobody logged, the real number for a typical team is 30 to 45 percent. Teams that start with us usually land in that range. Well-coached teams get to 50 to 65 percent, and the best offices we have seen are above 65. Is the texting compliant?

Yes. Plaibook only texts people who contacted you first or who are on an opted-in list. We do not cold text. By default a human at your office approves each follow-up before it goes out. You can switch a campaign to full auto once you trust it, but that is your choice, not the default. Opt-outs are handled automatically: if someone replies stop, the thread ends and they are not texted again.

The company

How many customers do you have, and how long have you been around?

Plaibook was founded in 2024 in Provo, Utah. About 40 pest control companies use it today, including five of the PCT Top 30, and we have analyzed more than 500,000 calls. Tanner, our CEO, ran inside sales at BRD Pest Solutions across seven offices before starting the company, which is why the scorecards look like something a sales manager would build and not something a software company guessed at.
